Restaurant accountant in Luxembourg: till reconciliation, VAT, payroll and margins.
A restaurant accountant in Luxembourg reconciles till receipts, card transactions, delivery platforms and bank statements, prepares VAT returns and annual accounts, and monitors operating costs. Financial Services Luxembourg supports restaurants, cafés and hospitality operators within its licensed accounting scope. Company bookkeeping retainers start at EUR 250 excl. VAT per month for qualifying low-volume files; payroll and historical catch-up work depend on the signed engagement and quotation.

Restaurant accounting in Luxembourg records and reconciles dine-in, takeaway and delivery sales, purchases, costs, inventory and payroll expenses. It separates gross takings from net delivery-platform payouts, reviews till discrepancies and prepares VAT classifications and annual accounts so owners can understand margins and cash movements.
Amended Luxembourg VAT Law of 12 February 1979 and its annexes A, B and C (AED); amended Accounting Law of 19 December 2002; social security and payroll obligations with the CCSS and ACD. Hospitality business licensing is separate and documented by Guichet.lu.
Key takeaway
- Gross sales, card and platform settlements and actual bank receipts must reconcile; a net platform payout is not the same as gross revenue.
- Restaurant services generally benefit from Luxembourg's 3% super-reduced VAT rate, but alcoholic beverages are excluded. Sales must be classified by transaction type.
- The fee depends on till and bank volumes, employees, platforms and closing work; out-of-scope work needs a separate agreement.

How do you reconcile restaurant tills, card payments and delivery platforms?
Restaurant accounting must distinguish gross sales and VAT from the amount deposited into the bank. A delivery platform may deduct commissions and other fees before settling the balance. Treating its net payout as the restaurant's full sales figure can distort revenue and VAT.
Financial Services Luxembourg agrees the necessary exports, booking rules and reconciliation schedule with the operator. Refunds, cancellations, vouchers and cash discrepancies are separately reviewed. We do not claim an automatic connection to every point-of-sale platform: integration depends on the systems in use.
Luxembourg restaurant VAT: what rates apply?
Restaurant and catering services generally fall under the 3% super-reduced rate in Annex B of Luxembourg VAT law, except supplies involving alcoholic beverages. Alcoholic-drink transactions generally fall under the 17% standard rate. The correct classification of each transaction must be checked against the applicable law and the AED's published guidance.
A till must be capable of separating the relevant categories of sales. See our Luxembourg VAT return service and the [AED's official VAT rates](https://pfi.public.lu/fr/professionnel/tva/taxe-valeur-ajoutee/taux-nationaux-applicables.html).
Which restaurant performance indicators should owners monitor?
A management report can compare food and beverage purchasing, stock movements, labour cost, occupancy expenses and platform fees against period sales. The most useful metrics depend on the business model: food-cost ratio, gross margin, labour-cost ratio, cash collections and cash runway.
These reports require complete till and supplier data and form an optional engagement scope, distinct from statutory bookkeeping. For additional support, see our outsourced CFO service.
How does outsourced hospitality payroll work?
Variable shifts, part-time staff, new starters and changes of status require timely payroll inputs from the employer. The appointed provider calculates payslips and prepares the agreed declarations; the employer remains responsible for supplying accurate underlying information and meeting its own legal duties.
Payroll should reconcile with the accounts, CCSS contributions and wage-tax withholding. Our Luxembourg payroll service explains payslip pricing and separate fixed fees.
How much does a restaurant accountant cost in Luxembourg?
Company bookkeeping retainers start at EUR 250 excl. VAT per month for qualifying low-volume engagements. A restaurant quotation must also take account of tills, multiple sites, bank entries, suppliers, delivery platforms, staff, VAT and any historical backlog. The advertised starting fee is not an all-inclusive hospitality package.
Read our accounting fees and accountant handover procedure. VAT and payroll catch-up, if needed, are separately assessed and quoted.
Opening a restaurant versus keeping its accounts: what is different?
A hospitality business permit concerns the right to operate; it does not replace VAT registration, bookkeeping or payroll obligations. Additional permissions may apply to alcoholic drinks.
Review our restaurant business licence guide and Guichet.lu's official hospitality guidance if you are setting up. An established restaurant should prioritise reconciled till records and continuous filing.

Frequently asked questions
What records does a Luxembourg restaurant accountant need each month?
POS and till exports, bank and card settlements, delivery-platform reports, supplier invoices, stock information where relevant, and payroll inputs if staff payroll is in scope.
Does every restaurant transaction attract 3% VAT in Luxembourg?
No. Restaurant services generally qualify for 3% VAT, but alcoholic beverages are excluded from that super-reduced treatment. Transactions must be classified under the applicable AED rules.
Can you take over a restaurant's accounts mid-year?
Yes, subject to receiving and reviewing sufficient records. Prior-year gaps and outstanding filings are identified and separately quoted where remediation is needed.
Is restaurant payroll included in bookkeeping fees?
Not automatically. The quotation details payslip volumes, employer filing services, fixed charges and any services included or excluded.
Will you connect directly to our POS software?
Data may be transferred through supported exports or integrations, subject to technical compatibility and reconciliation checks. No universal POS integration is assumed.
