INTEGRATOR AND ACCOUNTING FIRM Business permit 10077274 · RCS B213987

Your Odoo integrator is also your accounting firm.
One contract instead of two.

An integrator keeps the software running. It does not produce your accounting and does not take responsibility for your annual accounts. FSL acts as licensed accountant directly inside your Odoo instance, in coordination with the integrator, whether yours or one of our partners. This page sets out the seven criteria to check before choosing, and what the accounting layer concretely changes.

Question 01

What does an Odoo integrator do, exactly?

An Odoo integrator installs, configures and adapts the platform to your business, then maintains it. It translates your business processes into configuration: chart of accounts, taxes, sales and purchase flows, access rights, any custom development. It does not keep your books and is not authorised to prepare your annual accounts, which remains the role of an accounting firm or an authorised professional.

Odoo installs in a few minutes. What takes time, and what separates a successful project from one abandoned after six months, is the configuration: deciding how your quotes become orders, how your purchases generate entries, which user sees which information, and how all of this produces accounts that can be filed in Luxembourg.

Scoping and configuration

01

Analysis of your actual flows, selection of the modules you really need, configuration of the PCN 2020 chart of accounts, VAT rates, statutory journals and fiscal positions. This step determines whether your accounting comes out right or whether everything has to be reprocessed at year-end.

  • Flow mapping
  • Module selection
  • PCN 2020
  • VAT rates and positions
  • Statutory journals
  • Access rights

Data migration

02

Import of the opening balance, the general ledger, customer and supplier records with IBAN, fixed assets and their depreciation schedules. Then reconciliation with the former system, to the cent, before any go-live.

  • Opening balance
  • 12-month general ledger
  • Third parties and IBAN
  • Fixed assets
  • Reconciliation
  • 30-day parallel run

Training and maintenance

03

Team training on their real use cases rather than a generic demonstration, then maintenance: version upgrades, bug fixes, configuration adjustments when your business changes. An unmaintained ERP degrades within eighteen months.

  • Role-based training
  • Support
  • Version upgrades
  • Adjustments
  • Backups
  • Performance monitoring
QUESTION 02

Integrator or licensed accountant: what is the difference in responsibility?

The integrator makes the software work; the licensed accountant produces the official accounting and is accountable for it. These are two trades, two responsibilities and two distinct regimes: an integrator, however good, does not prepare your annual accounts and is not answerable for them. FSL acts on the second, under business permit number 10077274, directly inside the instance configured by your integrator or by one of our partners.

Question 03

How to choose your Odoo integrator in Luxembourg: 7 criteria.

Seven questions to ask before signing, three of which are specific to Luxembourg: command of the PCN 2020 chart of accounts, the ability to generate the eCDF and FAIA, ownership of the instance, transparency on licences, a commitment on lead time, the scope of training, and the exit conditions. An integrator who hesitates on the first three has no real Luxembourg practice.

This grid is not built to favour us; it is built to spare you a failed project. Use it with us as with our competitors. If an answer on our side does not satisfy you, say so: it is simpler to settle before signing than after the data migration.

Question 04

What FSL does, and what FSL does not do.

FSL covers Odoo integration, data migration, training and full bookkeeping for Luxembourg entities. For a French, Belgian or other entity established outside the Grand Duchy, we work on configuration and assisted data entry, supporting your local professional, who alone is authorised to prepare and sign your annual accounts and tax returns. We do not develop complex custom Odoo modules, which we entrust to specialised partners.

Our scope

What we take on

  • Full Odoo configuration for Luxembourg
  • Data migration from Sage BOB, Winbooks, Horus, Excel
  • Bookkeeping and tax returns for Luxembourg entities
  • VAT returns, eCDF, FAIA export
  • Annual accounts and filing with the RCS (Luxembourg Business Registers)
  • Multi-company and multi-currency consolidation
  • Team training on your real files
  • Configuration and assisted data entry for foreign entities
Out of scope

What we do not do

  • Preparing or signing annual accounts outside Luxembourg
  • Filing French or Belgian tax returns
  • Large-scale custom Odoo development
  • Statutory audit and review of accounts
  • Legal advice, entrusted to our partner Cerno Law Firm
  • Hosting on exotic proprietary infrastructure
  • Selling Odoo to those who do not need it
  • Taking a commission on licences
Why this restriction outside Luxembourg. Our business permit covers practice as a licensed accountant in Luxembourg. Acts reserved to the accounting profession in France and Belgium fall under separate professional bodies. We would rather state this clearly than discover the issue mid-engagement. This scope is set out explicitly in our engagement letters.

Question 06

Odoo integrator FAQ in Luxembourg

Eight questions marked up with FAQPage Schema.org, several of which cover contractual points rarely raised before signing.

What is an Odoo integrator and what is it for?+
An Odoo integrator is a provider that installs, configures and adapts the platform to your business, then maintains it. It translates your business processes into configuration, but does not keep your books or prepare your annual accounts. Concretely, that means the chart of accounts, taxes, sales and purchase flows and access rights. It does not keep your books and is not authorised to prepare your annual accounts, which remains the role of an accounting firm or an authorised professional.
What is the difference between an Odoo integrator and an accounting firm?+
The difference between an Odoo integrator and an accounting firm lies in the responsibility taken on: the integrator makes the software work, the licensed accountant produces the official accounting and is accountable for it. An integrator, however good, does not prepare your annual accounts and is not answerable for them. FSL acts on this second layer, under business permit 10077274, in the instance configured by your integrator or by one of our partners.
How much does an Odoo integrator cost in Luxembourg?+
An Odoo integrator in Luxembourg commonly charges between €2,500 and €15,000 excl. VAT for the initial configuration and between €500 and €1,500 excl. VAT for monthly maintenance, plus the fees of an accountant, from €800 to €2,500 excl. VAT per month. At FSL, the Business pack combines both at €3,900 excl. VAT, then €590 excl. VAT per month, on a scope that covers both configuration and bookkeeping.
Is a Belgian integrator enough for a Luxembourg company?+
A Belgian integrator can technically configure Odoo, but the Luxembourg difficulty lies elsewhere: PCN 2020 chart of accounts, eCDF returns, FAIA export, local VAT rates and filing with the RCS (Luxembourg Business Registers). A Belgian configuration applied as is produces statements that cannot be filed. The difficulty lies elsewhere: PCN 2020, eCDF via the CTIE, FAIA export under the AED FAIA specifications, Luxembourg VAT rates, specifics of RCS filing. A Belgian configuration applied as is produces statements that cannot be filed in Luxembourg.
How long does an Odoo integration take?+
An Odoo integration takes ten working days for a standard SME with no custom development, training included, and six to twelve weeks for a multi-company group with consolidation, multi-currency or industrial production. For a multi-company group with consolidation, multi-currency or industrial production, allow six to twelve weeks. An integration promised in three days on a complex scope is a warning sign.
Do I own my Odoo instance?+
At FSL, you own your Odoo instance without reservation: the subscription is opened in your name, licences are re-invoiced at the publisher's rate, and all access is handed to you within thirty days if you leave. The instance is opened in your name, licences are re-invoiced at the publisher's price with no commission, and all access is handed over to you within thirty days if you leave, with no exit fees. Check this point with any integrator: some contracts place the instance in the provider's name, which makes leaving costly.
Odoo Community or Odoo Enterprise for Luxembourg?+
Odoo Enterprise is recommended for Luxembourg because it includes the Luxembourg tax localisation, eCDF generation, FAIA export and publisher support. Odoo Community is free but requires third-party modules for local compliance and in-house technical maintenance. Community is free but requires third-party modules for local compliance, plus in-house hosting and maintenance. For an SME, Odoo Enterprise on Odoo.sh remains the best ratio of cost to risk.
What if my current integrator no longer suits me?+
If your current integrator no longer suits you, an Odoo instance can be taken over without starting from scratch: review of the existing setup, findings report ranking issues by severity, then costing of the fix. FSL reviews the existing setup, identifies the configurations to correct and the custom developments to maintain, then takes over operations. We systematically ask for access to the test database before committing to a quote, so as not to discover technical debt after signing.
