Definition, 01

What is an Odoo accounting firm in Luxembourg, exactly?

An Odoo accounting firm in Luxembourg is a licensed accounting practice that produces the bookkeeping, VAT, annual accounts, eCDF, FAIA and reporting directly inside the client's Odoo environment, with command of both Lux GAAP expertise and the technical set-up of the ERP.

A direct answer, written for search engines, LLMs and busy decision-makers. Three successive layers, from the simplest to the most operational.

01 · Short definition

An accounting firm that runs the books directly on Odoo

An Odoo accounting firm is a licensed Luxembourg accounting practice that produces its clients' accounting and tax obligations (bookkeeping, VAT, payroll, annual accounts, eCDF, FAIA) directly on the Odoo platform. The firm masters both Lux GAAP expertise and the technical set-up of the ERP.

02 · Difference from an integrator

Integrator = installer. Accounting firm = accountable for the books.

An Odoo integrator (Captivea, By-Doo, Account-IT) configures the software and bills the implementation. An Odoo accounting firm runs the bookkeeping, prepares the annual accounts and takes on the professional liability of a licensed accountant, under a business permit issued by the Ministry of the Economy. FSL combines both skill sets in a single team, operating the platform and the accounting sign-off at the same time.

03 · Difference from a firm that “uses Odoo”

You keep ownership of the Odoo instance

Many Luxembourg accounting firms use Odoo internally but give their clients no access to it. FSL reverses the model: the instance belongs to you, the modules belong to you, the data belongs to you. FSL operates through auditable access. If the engagement ends, you keep 100% of the environment.

04 · What FSL delivers in practice

Lux GAAP set-up + monthly operation

First deliverable: initial platform set-up compliant with the Luxembourg PCN (standardised chart of accounts), VAT rates of 17/14/8/3%, statutory journals, eCDF export, FAIA module. Second deliverable: monthly accounting execution, VAT returns, payroll, annual accounts, reporting. A single point of contact, zero three-way coordination.

Ownership and portability

The Odoo instance, the code, the data and the backups belong to you by contract. FSL resells neither licences nor hosting with a hidden margin. If the contract ends, full access is maintained and the transition to any other provider is facilitated within 30 days.

FSL anti-bloat policy. We install only the modules you need. Every additional module complicates the interface, slows down the database and increases the Odoo bill. Odoo vs Sage BOB, Winbooks, Horus: which one to choose in Luxembourg?

Sage BOB, Winbooks and Horus are accounting packages; Odoo is a full ERP. For a single-task accounting firm with no CRM, no stock and no automated payroll, Sage or Winbooks are enough (licence ~€180-250/month). For an SME or SOPARFI combining several flows, Odoo saves real time.

When Odoo is not the right answer. If you are a single-task accounting firm with no CRM, no invoicing, no stock and no automated payroll, Sage BOB or Winbooks are enough. If your business combines several flows (sales, stock, project, payroll, e-commerce), Odoo genuinely saves time. FSL advises according to your real profile, not according to our preferred stack. Migration, 08

How to migrate from Sage BOB, Winbooks or Horus to Odoo in Luxembourg?

A Sage BOB, Winbooks or Horus to Odoo migration takes 7 weeks as standard at FSL, from the review of the existing setup to the stabilised go-live. The cut-over month runs in parallel (old system + Odoo with double entry) so that any discrepancy is detected before the month is closed. Chart of accounts mapping, prior-year (N-1) balance takeover, team training included.

FSL manages the migration end to end. Chart of accounts mapping, takeover of prior-year (N-1) balances, third parties, fixed assets, bank accounts and VAT set-up. Parallel entry during the cut-over month, team training included.

Our “zero commission” policy. FSL receives no commission from Odoo SA, no commission on re-invoiced licences, no commission on third-party modules. FSL's margin comes exclusively from the accounting and tax expertise it invoices. Official Odoo prices are published at odoo.com/pricing and are directly accessible to the client. This transparency is annexed to every engagement letter.
Fixed fees, verifiable against the published rate card. All FSL Odoo fixed fees are fixed for 12 months. If volume overruns on a seasonal business, FSL absorbs it without surcharge; if volume increases structurally (for example +50%), a transparent amendment is signed for the following financial year. Out-of-scope work is billed at the published hourly rates of rate card V4.5, never at a private rate.

How to automate your Odoo accounting with AI in Luxembourg?

FSL combines Odoo's native REST API with specialised AI models along three axes: invoice OCR with automatic classification to the Luxembourg PCN account, AI bank reconciliation via PSD2 with CSSF-licensed banks, and monthly generation of a custom PDF board pack. Always with FSL human validation before any accounting entry.

Odoo exposes a native REST API. FSL combines it with specialised AI models to automate what should be automated, without ever replacing the human signature. Three automation axes, all operable on your instance.

★ AI pillar · FSL Lab OCR + extraction

Invoice capture, classification, automatic accounting entry

Your suppliers send their invoices to a dedicated email address. The OCR extracts the net amount, VAT, total, IBAN, due date and references. The AI engine proposes the ledger account and the VAT code. FSL validates in one click. The entry is posted. Average time per invoice: 7 seconds.

  • Multi-format extraction (PDF, image, email)
  • PCN account + LU VAT code suggestion
  • Automatic 3-way match validation (PO / delivery note / invoice)
  • 10-year archiving in Odoo Documents
  • Full audit trail, AED-compliant
Bank Feed AI bank reconciliation

Match bank feeds automatically

Secure PSD2 connection to Luxembourg banks (BIL, BCEE, BGL, ING, BCL, Raiffeisen, Revolut Business). The engine matches each bank movement with the corresponding invoice, proposes difference entries and flags unusual transactions.

  • PSD2 compliant, CSSF-licensed
  • Multi-account, multi-currency
  • Automatic matching suggestion
Reporting Custom AI board pack

Monthly reports generated in 4 minutes

On the 5th of the month, your PDF board pack is generated: financial indicators, margin, cash, DSO, covenant alerts, prior-year comparison, management commentary. Customised to your brand guidelines. Distributed automatically to your board of directors.

Migrating to Odoo: 9 common objections and their answers.

Nine recurring concerns of Luxembourg managers before an ERP change, all addressed: Odoo SA's longevity, team training, complexity of flows, data loss during migration, auditor acceptance, changes in FSL fees, invoice branding, GDPR compliance, time to go live.

Nine recurring concerns of Luxembourg managers facing an ERP change. Straight answers, no jargon.

Q “What if Odoo SA raises its prices or disappears?”
A

Odoo is open source, with its code available on GitHub. The instance can be migrated to a third-party EU host in 48h. FSL keeps a mirror copy of your database. Dependence on Odoo SA is lower than on Sage, Winbooks or Horus, which are closed proprietary products.

Q “My team will lose 3 months in training”
A

The Odoo interface is deliberately minimalist. Business users (sales, purchasing, HR) become autonomous in 2h. The intensive accounting team needs 8 to 12h in total over 2 weeks, in short sessions rather than one massive day.

Q “Odoo is too simple for my complex flows”
A

False. Odoo handles multi-company, multi-currency, multi-warehouse, MRP, IFRS 15 and consolidation. FSL has deployed Odoo for SOPARFI with 47 entities and industrial SMEs with 8 sites. The interface is simple; the engine is not.

Q “I will lose my data during the migration”
A

During the cut-over month, entries are recorded in parallel in the old system and in Odoo. FSL reconciles daily. If an entry is missing, it is posted within 24h. No client has lost an entry in the migrations FSL has carried out since 2021.

Q “My auditors do not know Odoo”
A

A statutory auditor (réviseur d'entreprises) works from supporting documents and standard exports, whatever the software. FSL delivers a standardised auditor file: auditors' trial balance, FAIA, journals by period, read-only access to the instance, direct technical support. No audit has been rejected on any FSL engagement.

Q “What if FSL becomes too expensive in 2 years?”
A

The Odoo instance belongs to you. You can change accounting firm within 30 days; FSL hands over the full access, the set-up and the documentation. No exit cost, no contractual lock-in. This is our written commitment in the engagement letter.

Q “My customer invoices must keep my design”
A

The Studio module lets you customise the invoice template with your brand guidelines (logo, colours, legal notices, IBAN, terms). FSL delivers the configured template as part of the initial set-up. Invoices go out as PDF, Peppol XML, or both depending on the recipient.

Q “GDPR and data hosting?”
A

Odoo.sh hosts your instance; the hosting region is confirmed in the contract. Data stays in the EU. The Odoo DPA is GDPR-compliant. FSL signs an additional DPA with you, clearly identifying the sub-processors and their jurisdictions.

Q “How long before I am operational?”
A

Company formation + Odoo delivered: 4 to 8 weeks (tied to the RCS and banking timetable). Migration from Sage/Winbooks/Horus: 7 weeks. Internal redesign of a poorly configured Odoo: 4 weeks. FSL provides a firm timeline before signature.

Definitions

Odoo, ERP, PCN 2020, eCDF, FAIA, Peppol: the definitions that matter.

Ten terms come up in any discussion of business software in Luxembourg. Each is defined here in a self-contained sentence, then elaborated, with a link to the official source or the vendor's documentation where one exists.

Odoo
Odoo is an open-source business management software suite of Belgian origin, organised in modules that you activate as needed: accounting, invoicing, sales, purchasing, stock, production, projects and payroll. Created in 2005 under the name TinyERP, then OpenERP, it has been called Odoo since 2014. Its distinguishing feature is that these modules coexist on a single database, which removes re-keying between tools.
ERP
An ERP, or enterprise resource planning system, is software that brings a company's management functions together on a single database : accounting, purchasing, sales, stock, production and human resources. What sets it apart from accounting software is scope: accounting software records transactions, whereas an ERP generates them at source and then posts them automatically.
Odoo Community, Enterprise and Odoo.sh
Odoo Community is the free open-source edition, Odoo Enterprise the licensed edition, and Odoo.sh the official hosting platform. For a Luxembourg company, the tax localisation, the generation of VAT returns in XML and the FAIA export belong to the Enterprise offer. Community remains free but requires third-party modules and in-house technical maintenance.Source: Official Odoo pricing
PCN 2020
The PCN 2020 is the Luxembourg standardised chart of accounts, applicable to commercial companies since 1 January 2020, replacing the PCN 2009. It sets the numbering and the titles of the accounts used to prepare the annual accounts. Software that still uses the old chart produces statements that cannot be filed.Source: Accounting Standards Commission (CNC)
eCDF
The eCDF is the Luxembourg State's platform for collecting financial data, operated by the CTIE. VAT returns, structured annual accounts and filing with the RCS (Luxembourg Business Registers) go through it in a standardised XML format. Odoo exports monthly, quarterly and annual returns in this format.Source: eCDF platform
FAIA
The FAIA is the Luxembourg version of the SAF-T format, a standardised XML file containing all the entries of a period, which the Registration Duties, Estates and VAT Authority (AED) may require during an inspection under the AED FAIA specifications. Its generation depends on how complete the third-party records and the chart of accounts are.Source: Registration Duties, Estates and VAT Authority (AED)
Peppol
Peppol is a European network for exchanging structured business documents, managed by the OpenPeppol association and adopted by Luxembourg as the channel for receiving public sector invoices. The applicable format is Peppol BIS Billing 3.0, based on UBL 2.1 and aligned with the European standard EN 16931.Source: Odoo documentation, e-invoicing
Fiscal position
A fiscal position is an Odoo rule that automatically substitutes a VAT rate and account depending on the customer's or supplier's profile. Correctly configured, it applies the reverse charge to a taxable person in another Member State and the exemption to a customer outside the Union, without user intervention. Badly configured, it distorts the whole return.Source: Odoo documentation, Luxembourg localisation
Reverse charge
The reverse charge transfers the payment of VAT to the customer when the customer is a taxable person established in another Member State. The invoice then carries a 0% rate and the corresponding legal mention, after the customer's VAT number has been checked in the VIES database at the date of the transaction.
Lux GAAP
Lux GAAP is the Luxembourg accounting framework, derived from the amended law of 19 December 2002 on the trade register and company accounting. It governs the presentation of the annual accounts, the valuation methods and the filing obligations, separately from IFRS.Source: Guichet.lu, accounting obligations

Understanding the Odoo accounting firm

What is an Odoo accounting firm in Luxembourg? +
An Odoo accounting firm in Luxembourg is an accounting practice that keeps its clients' books directly in their Odoo instance, instead of re-keying them in its own software. It masters both Luxembourg accounting and the platform set-up. In practice, the firm masters both the Lux GAAP expertise (standardised chart of accounts, eCDF, FAIA) and the technical set-up of Odoo (modules, journals, taxes, legal exports). The client keeps ownership of their Odoo instance and gets real-time visibility of their business. This is the FSL model.
What is the difference between an Odoo integrator and an Odoo accounting firm? +
The difference between an Odoo integrator and an Odoo accounting firm is one of responsibility: the integrator configures and maintains the software, the accounting firm produces the official accounts and takes responsibility for them. An integrator does not prepare your annual accounts and is not answerable for them. An Odoo accounting firm runs the bookkeeping on Odoo, prepares the annual accounts and takes on the professional liability of a licensed accountant, under business permit no. 10077274 issued by the Ministry of the Economy. FSL combines both skill sets in a single team, without three-way coordination.
Why choose Odoo over Sage BOB or Winbooks? +
Choosing Odoo over Sage BOB or Winbooks makes sense when your business goes beyond pure accounting: Odoo brings invoicing, sales, purchasing, stock, projects and payroll onto the same database, where specialised accounting packages require third-party tools and re-keying. Odoo is a full ERP that includes CRM, sales, purchasing, stock, payroll, projects, e-commerce and accounting. For a single-task accounting firm, Sage is enough. For an SME or SOPARFI combining several flows, Odoo saves time by removing re-keying between tools. See our comparison matrix in section 07.
Is FSL an official Odoo partner? +
FSL is not a reseller of Odoo licences and receives no vendor commission. We act as a licensed accountant inside your instance, in coordination with your integrator or one of our partners; FSL takes no margin on licences and therefore has no interest in which software you choose. FSL is an Odoo-native accounting firm, meaning that its accountants master the platform set-up but bill only their accounting and tax expertise, with no margin on licences. It is a choice of transparency.

Odoo Lux GAAP set-up

Is Odoo suited to Luxembourg accounting? +
Odoo is suited to Luxembourg accounting: its localisation installs the PCN 2020 chart of accounts, the four VAT rates, the fiscal positions, the generation of VAT returns in XML for the eCDF and the FAIA export. Odoo supports the Luxembourg standardised chart of accounts (PCN), VAT rates of 17/14/8/3%, the eCDF return, the FAIA export for the AED, multi-currency management and multi-company. The initial set-up is critical. A poor set-up generates cascading errors over 12 months. This is what FSL brings in place of a simple integrator: Luxembourg accounting expertise built into the set-up.
Does Odoo generate the Luxembourg eCDF and FAIA? +
Odoo generates the Luxembourg eCDF and FAIA natively: monthly, quarterly and annual VAT returns export in XML for filing on the eCDF platform, and the FAIA file, the Luxembourg version of SAF-T, exports from the accounting report. Odoo natively generates the eCDF return (balance sheet, profit and loss account) in the XML format expected by the CTIE and the RCS. For the FAIA export (Computerised Audit File), a dedicated Odoo module ensures compliance with AED FAIA specifications. FSL checks the compliance of each export before filing and keeps an archived copy for 10 years.
Which Odoo modules are essential for a Luxembourg SME? +
The essential Odoo modules for a Luxembourg SME are Accounting for bookkeeping, VAT and the eCDF, Invoicing for invoices and Peppol, Sales for quotes and CRM, and Purchase for purchasing. Industry modules are then added depending on the business. Industry modules by activity: Inventory + MRP (manufacturing), POS + eCommerce (retail), Project + Timesheets (services), Subscription (SaaS). See our map of the 24 modules in section 06.

Migration from your current software

Can you migrate from Sage BOB, Winbooks or Horus to Odoo with FSL? +
Migrating from Sage BOB, Winbooks or Horus to Odoo with FSL is possible from each of these packages, as well as from Excel or a foreign tool. Each source has its own extraction protocol and its own mapping to the PCN 2020 chart of accounts. FSL handles migrations from Sage BOB 50, Winbooks, Horus and Excel to Odoo. The migration includes chart of accounts mapping, import of prior-year (N-1) balances, takeover of third parties, bank accounts, fixed assets and VAT set-up. Average duration 6 to 8 weeks, with parallel entry throughout the cut-over month. See the detailed timeline in section 08.
What happens to my accounting history after migration? +
After migration, your accounting history is carried over for two financial years in Odoo, balances and general ledger, so that the current and previous years can be compared. Supporting documents remain archived in the old software for the ten years required by law. Historical supporting documents stay stored in the old system, archived read-only for 10 years (Luxembourg requirement). FSL provides read access to auditors on request, without reactivating a licence.
How long does a migration to Odoo take? +
A migration to Odoo takes seven weeks as standard, from the review of the existing setup to a stabilised go-live. The cut-over month runs in parallel, with simultaneous entry in both systems, so that any discrepancy is detected before the month is closed. The cut-over month runs in parallel (old system + Odoo) so that any discrepancy is detected before the month is closed. Migration can be accelerated to 4 weeks for a company formation, where there is no historical data to carry over.

Pricing and commitment

How much does accounting on Odoo cost in Luxembourg? +
Accounting on Odoo in Luxembourg costs between €200 and €2,500 excl. VAT per month at FSL, depending on entry volume and the number of companies, plus the initial set-up and the Odoo licence re-invoiced at the vendor price. Self-employed €200 to €450, SME €500 to €2,500, funds and SOPARFI on quote, payroll per payslip according to the published fee grid. The initial Odoo Lux GAAP set-up ranges from €2,500 to €8,000 depending on complexity (multi-company, multi-currency, industrial modules). No Odoo licence resold, full transparency on platform cost. See the details in section 10.
Does FSL resell Odoo licences with a margin? +
FSL never resells Odoo licences with a margin: they are re-invoiced to you at the vendor price, to the euro, or subscribed directly in your name with Odoo. Our remuneration covers only the set-up and the bookkeeping. This is our “zero commission” policy. The Odoo Online or Odoo.sh licence is billed directly by Odoo SA at the public price (~€20/user/month). FSL re-invoices at cost with no margin, or lets the client subscribe directly if preferred. This transparency is annexed to the engagement letter.

Security and data ownership

Does the Odoo instance really belong to me? +
Your Odoo instance belongs to you without reservation: the subscription is opened in your name, the data is yours, and all access is handed over to you within thirty days if you decide to leave, with no exit fee. You are the contractual owner of the Odoo instance, the data and the modules. FSL operates on your instance with auditable access. If the contract ends, you keep 100% of the environment, with no data retention. You can switch to any other accounting firm: FSL hands over the full access and retains no data.
Odoo Online, Odoo.sh or Odoo on-premise in Luxembourg? +
Among Odoo Online, Odoo.sh and Odoo on-premise in Luxembourg, Odoo.sh suits most SMEs: European hosting, database access and the option of custom modules. Odoo Online is simpler but less flexible; on-premise is justified by specific sovereignty requirements. Odoo.sh (PaaS) suits 80% of FSL cases: custom modules possible, staging environments, daily backups, EU hosting in Belgium. Odoo on-premise remains recommended only for regulated structures (banks, CSSF funds) with sovereignty constraints. FSL advises according to your risk profile.
