What blows an accounting budget is never the bookkeeping, it is late paperwork. A client who sends invoices by the 15th of the following month stays inside the retainer; one who sends them in June for the previous year pays the catch-up at time spent. Document discipline is worth more than any fee negotiation.

How is the retainer reviewed at year end?

The accounting retainer is reviewed at closing with a 10% tolerance in both directions: as long as the gap between time actually spent and the retainer stays under 10%, nothing is invoiced or refunded. Beyond that, only the part exceeding the tolerance is settled, on a written timesheet, and the retainer is adjusted for the next year, never retroactively.

The tier change is noted during the year and the retainer is adjusted in writing for the remaining months, without retroactivity. Moving from 60 to 120 entries takes annual bookkeeping from EUR 500 to EUR 1,200 excl. VAT.
